## Context

Many sports clubs in Romania still run on paper registers, Excel sheets and WhatsApp groups. Coaches keep attendance in notebooks, managers track who has paid from memory, and medical clearances expire without anyone noticing. Grade exams mean filling in the same tables again, and diplomas are written out one by one. Many small clubs have no website either, so parents looking for a club in their town never find them. Clubs affiliated to a federation carry a second layer of paperwork on top: affiliation dossiers, athlete licences and exam sessions sent back and forth by email.

## What we built

We built SportClubPro, a web platform where a club runs its whole day-to-day administration, free of charge. The club manager works from one dashboard: members and groups, attendance, fees and expenses, events, grade exams and reports. Each coach can get a separate account, and the manager decides exactly which modules they see, down to their own groups. Every club also gets a public page and a place in a directory organised by city and sport, with an enquiry form that lands straight in the dashboard. For affiliated clubs, the federation has its own panel: it reviews affiliation dossiers, issues licences and runs exam sessions using the data clubs already keep. The platform team oversees everything from a separate admin panel.

## Key features

- **Members and sports history** – every athlete has a profile with groups, grades and belts per discipline, medical checks and a full sports record, and existing lists can be imported from Excel.
- **Fees, payments and expenses** – the club records payments, sends receipts by email, sees who is behind on fees and has recurring costs such as rent entered automatically each month.
- **Attendance and reports** – coaches mark attendance per group, and managers download PDF reports on attendance, finances, grades and events.
- **Grade exams with printable diplomas** – the club schedules an exam, records the results in one step, and promoted athletes get their new grade plus a numbered diploma ready to print, optionally on the club's own design.
- **Automatic reminders** – expiring fees, medical clearances and licences trigger alerts by email, in the app and on Telegram, so deadlines no longer depend on someone remembering.
- **Public page and club directory** – each club gets a search-friendly page with its schedule, events and contact form, listed by city and sport so parents can find it.
- **Federation workflows** – affiliation dossiers are filed online, licences are issued from the member data the club already has, and licence cards are generated on the federation's official print artwork.

## Under the hood

We built SportClubPro on Laravel 13 and Livewire 4, so screens update instantly without the cost of a separate mobile app, and the platform installs on a phone like one. Every query is scoped to a single club, and automated tests prove that no club can see another club's data. Coach permissions are checked on two layers, and a test fails if any page skips that check. Emails go out through a background queue, with delivery logging and failure alerts. Card payments run through Stripe, and an order counts as paid only once Stripe confirms it. PDF documents are drawn over official templates with measured positions, so they print correctly. A weekly blog article is written with Claude, illustrated with Fal AI. The suite holds over 1,200 automated tests.

## Outcome

Clubs now keep members, fees, attendance and exams in one place instead of spreadsheets and notebooks, and managers share the work with their coaches without sharing a password. Every club has a web presence that parents can find in search, at no cost. Affiliated clubs and their federation exchange dossiers, licences and exam results inside the same system, with no tables filled in twice and no email attachments. Alongside the free core, the platform now sells its first paid add-on: diplomas printed on the club's own design, paid by card.
