Context
Many sports clubs in Romania, martial arts clubs in particular, run on spreadsheets, paper registers and chat groups. Coaches keep track from memory of who has paid, whose medical certificate is about to expire and which belt each athlete holds. Federations collect affiliations and licences by email, and competitions are organized with forms and Excel files that organizers retype by hand. Clubs register for competitions on different platforms and enter the same athletes again every time. The result is lost time, forgotten fees, expired medical certificates discovered at the weigh-in and organizers working through the night before an event.
What we built
SportClubPro is one platform with four connected workspaces. Club managers and coaches manage members, groups, attendance, fees, medical checks, grades and exam sessions, and each club gets a public page listed in a directory by city and sport. Federations handle affiliations, licences and printed licence cards. Competition organizers, whether federations, leagues or clubs, set up their own rulebook, open categories in bulk, collect registrations and fees online, run the draw, follow the competition day on phones and publish live results, rankings and diplomas. Clubs that already use SportClubPro enter their athletes in a few clicks, with medical checks verified automatically, while clubs without an account get a free, lightweight competition account.

Under the hood
We built SportClubPro on Laravel 13, Livewire 4 and Filament 5 for fast, rich interfaces without a heavy front-end. Each club's data is isolated: every query is scoped to the club and covered by automated tests, so no club can see another's members. Separate panels for the platform, federations and organizers keep each role's tools focused. Emails go through a queue and Brevo's API, with a delivery log and failure alerts. Card payments run through Stripe Checkout and count as paid only once Stripe confirms them. PDFs are drawn over official artwork at print quality. A weekly blog is written with Anthropic's Claude and illustrated with Fal AI. Updates are blocked on competition days, and the platform was tested with about 5,000 categories in one competition.
Outcome
Clubs can now run their day-to-day administration from a phone instead of spreadsheets and see at a glance who has paid and whose medical certificate is expiring. Federations process affiliations and licences online. Organizers can take a competition from registration to diplomas in one place, while clubs register once and reuse their athletes' data. The competition module went live in October 2026 and is being piloted with a national federation.
